Guidelines for the preparation of the Institutional Repository

Institutional Repository - IR 



What is Institutional Repository

    Institutional Repository could mean information archives, intellectual property, documents
that were gather within their institute or organization and converted into digitize format
i.e. Electronic Publication, Theses, Electronic books were included as a library of information resources that are stored as well.
    It is intended to store and maintain the vital resources of institutions or agencies in various categories including Academic Performance of Students, Staff, Faculty, Thesis Papers, Research Reports, Articles, Meeting documents and Seminars, Papers, Documents and Teaching Manual Operation, Multimedia (video / audio / image files), etc., and aimed to publish to users both inside and outside the institution / agency access and use of these resources. The right to access and permission to access the resource may vary according to the policies of institutions / agencies.


Conceptual of Institutional Repository

   Institutions / Organizations that wish to make archives institutions. Mainly aimed at harmonizing follows.
        -  In order to maintain a sustainable resources.
        -  Could access it anywhere, anytime, on-demand in the long term.
        -  Published and share the use of shared resources.


Exploration and resource studies at the store.

   The first thing you have to do before developing the institution's archives. It is planned operations, working as a team, the division of responsibility with the following guidelines
        -  explore to resources that will be stored and group of people who use the service.
        -  the storage resources should be no infringement of the institutions / organizations / individuals.
        -  Sorting and grouping of resources.
        -  Providing the space for the storage of information resources, including applications or systems consistent and adequate storage resources.
        -  Resources were adapted to store a form appropriate to the needs of the application or system. All informations are converted to a digitize format.
        -  Study of test data into the program or system resources.
        -  Test data input and retrieval of resources by registered user.
        -  Rectify errors in the application or system.
        -  Preparation of reports and records problems. Arising from its use.


Institutional Repository Hardware - Disk Usage

     Planned to provide disk spaces for Dspace software installation including the storage area for resources that will be converted  into  the digitize format should be consistent with the amount of resources that were explored. For example, the used of  disk spaces in the earlier version 1.7.2
of Dspace software.

  After the installation was completed. The program will be installed in the folder. -> c:\dspace
(in case of Windows Installation) will occupy at least about 500 MB for disk spaces.

   Dspace folder names  'dspace-1.7.2-src-release'  which installed on C: drive:  will occupy at least about  964 - 1000 MB
   Apache-maven-2.2.1  software will occupy at least about  3-4 MB
   Apache-ant-1.8.1  software will occupy at least about  38-45 MB
   Java (JDK 6 Update 22)  software which installed on c:\program files\java will occupy at least about 280-290 MB
   Tomcat 5.5  software which installed on c:\program files\apache software foundation\tomcat 5.5  will occupy at least about 200-250 MB
   PostgreSQL 8.4  software which installed on c:\program files\postgresql  will occupy at least about 300-350 MB

   So the disk usage only for installation of Dspace software version 1.7.2 needs about  500+1000+4+45+290+250+350 = 2439 MB (at least 2.5 GB) but you also need to plan for the provision of additional space to store the backup data exclude from Dspace sofware to be consistent with the amount of datas that was conducted in the exploration phase.
   Finally, in my opinion the appropriate size of total disk spaces is 50 GB which enough for first stage  of  trial.

For example, documents that were converted into electronic format of .pdf extension

Consist of data 13 pages (with insert pictures about 5 pages)

Sample pdf file that is 781 KB.
Consist of data 11 pages (with insert pictures about 2 pages)

Sample pdf file that is 630 KB
Consist of data 9 pages (with insert pictures about 5 pages)

Sample pdf file that is 580 KB
Consist of data 12 pages (with insert pictures about 4 pages)

Sample pdf file that is 359 KB
Consist of data 6 pages (with insert pictures about 4 pages)

Sample pdf file that is 262 KB
Consist of data 25 pages (Only letters)

Sample pdf file that is 27 KB
Consist of data 1 page (Only letters about 27 lines)

In the example above, the size of file sizes will depend on
      -  Type of Informations (Letter / Image / Audio / Animate i.e. Video file).
The animate information is usually have larger file sizes than other kinds of information.
    -   The amount of stored data.

           o  Eprints is a program that allows users to download and install it for free as well, with a large number of users. Respectively, followed by the Dspace software.

     Dspace and Eprints are many different advantages. But one thing in common is OAI-PMH Protocol (Open Archive Initiative-Protocol Metadata Harvesting). This can be exploited to extract or harvest information from other sources Metadata with OAI-PMH alike to make them easy to search at once. You can be searched to retrieve data from multiple sources simultaneously.

Benefits from the preparation of the Institutional Repository.

    - A storage resources have maintaining sustainable and more permanent
    - Access to resources anywhere, anytime, on-demand in the long term.
    - Resources are publishing and sharing together.
    - A knowledge management approach of institutions / agencies.
    - As a guide to measure academic quality of institutions / agencies.
